Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in Microsoft Word file format.
  • Where available, URLs for the references have been provided.
  • The text uses 1.5 line-spacing; uses Times New Roman 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines.

Author Guidelines

Journal of Nepalese Association of Pediatric Dentistry (JNAPD) is the official journal of Nepalese Association of Pediatric Dentistry (NAPD) since 2020. It is biannual, peer-reviewed and open access journal with p-ISSN: 2773-7926 and e-ISSN: 2773-7934 (Online at www.napd.org.np ). It is the first journal in Nepal from Nepalese Pediatric Dentistry that will be covering researches focusing exclusively on the oral health care of children in Nepal/World.

JNAPD is formed to spread knowledge about pediatric dentistry through scientific research and scientific advances by providing a publishing platform to researchers and scholars. The aim of JNAPD is to increase the visibility and ease of use of open access scientific articles related to pediatric dentistry at no cost thereby promoting their increased usage and impact. However, if printed or color printing is demanded by the author(s) the cost will be incurred by them.

The journal publishes articles related to researches done in the field of pediatric dentistry by all the discipline of the medical sciences, medical education, public health, health policy, health care management, including ethical and social issues pertaining to health and care of children oral health. The journal gives preference to good quality research papers with new findings, clinically oriented studies over experimental and animal studies. JNAPD gives special attention to the articles providing immediate impact to the health and policy of children dental care and will get preferences through fast track review, as well.

SUBMISSION OF THE MANUSCRIPT
All manuscripts must be type written and submitted to the Editor in Chief, JNAPD. The total number of authors including Principal author should not be more than six (6). Authors must submit manuscripts through email in the following address: jnapdjournal@gmail.com

  1. Cover letter with declaration, conflict of interest. (transfer of the copyright to JNAPD if needed)
  2. Title page with authorship (including signatures of individual authors, emails and phone numbers of each author) and address of correspondence. The authors should state the name of the corresponding author in the same order as it would appear in the final published article. Check website of the Committee on Publication Ethics (COPE) for more detail at https://publicationethics.org/.
  3. Manuscript with author(s) name(s), affiliation(s), correspondence, abstract, and references as it would appear in the final published article (Latest issue of JNAPD for more clarity and error-free submission).
  4. Ethical clearance letter for Research Articles and Consent form signed by the patient(s) and one or more of the Author(s) for Case Reports/Series.
  5. An additional document with only references after unlinking from the reference managers or software such as Endnote, Mendeley, Zotero, etc. For unlinking, use the "Keep Text Only (T)" paste option in a new document.

Use text/rtf/doc/PDF files. Do not zip the files.

  • Articles should be written in British English or English (US)
  • All titles and subtitles should be Bold (Ctrl+B for MS Word in Windows).
  • Font-size of the main title of the article: 14 (Title Case) and centrally aligned (Ctrl+E for MS Word in Windows).
  • Subtitles’ font-size: 12 (UPPER CASE) and aligned on the left side of the document (Ctrl+L for MS Word in Windows).
  • Text Font Size/Style: 12 point Times New Roman
  • Page Layout – Size – A4.
  • Format: Microsoft Word (.doc or .docx) file format and all the illustrations, figures and tables should be placed within the text at the appropriate points.
  • Line Spacing: 1.5
  • Border spacing: 1 inch (all sides)
  • Page number: Right hand bottom
  • About three to six keywords, should be in a MeSH term. Check at https://meshb.nlm.nih.gov/search for more information. Keywords arranged alphabetically, separated by semicolons, and ending with a full stop. Only the first letter of the first keyword upper case, rest lower case. NO abbreviations.
  • References- A maximum of 10 references for Editorial, Guest Editorial, Letter to the Editor, Case Report, Short Communication, View Point, Dental Education, Student JNAPD sections, Commentaries and Miscellaneous sections. No more than 30 references for Research Article and Case Series (with Literature Review) and a maximum of 50 references for the Review Article section.
  • Tables and Figures: not more than ten in total (For Case Report/Series please check under the relevant section). Do not merge/collage multiple "Figures/Pictures" to make one [Each image should be less than 400 kb in size, keep up to 1024x760 pixels or 5 inches. Image file format: jpeg or tiff/ Resolution: 300 dpi (dot per inch)]. They will be counted as individual figures/pictures and not accepted in JNAPD if the figure limit is crossed.

Types of Manuscripts and Limits

  • Editorial / Guest Editorial: Up to 1000 words excluding references which in turn are restricted to a maximum of 10 in number.
  • Original / Research Article: Up to 3000 (excluding abstract, references and figures). Abstract can be up to 250 words, 3-6 keywords with maximum of 30 relevant references.
  • Case Report/Series: Up to 1500 (2500 for case report with literature review) words excluding abstract (150 words for case report and up to 250 words for case series) with 3-6 keywords. References are restricted to 10 for case report and 30 for case series.
  • Review article: They should be a maximum of 3500 words. Abstract should be of 200 words, 3-6 keywords and up to 50 relevant references.
  • Systematic Review or Meta-analysis: Follow the PRISMA recommendations. You can access the relevant information from their website at http://www.prisma-statement.org/
  • Short Communication: It should include up to 1500 words excluding abstract of 150 words with 3-6 keywords and 10 references are allowed.
  • Viewpoint: It should include up to 1500 words excluding abstract of 150 words with 3-6 keywords and 10 references are allowed.
  • Medical / Dental Education: Word limit up to 1500 words excluding abstract of 150 words, 3-6 keywords and 10 references. It undergoes the peer review process.
  • Book review: Recently published books by our peers should be reviewed and should be from 500-1000 words.
  • Letter to the Editor: It should be up to 1000 words and can cite 10 references without an abstract.
  • Commentaries/Miscellaneous: It is with word limitation of 1000 and 10 references are allowed.

Manuscript charges for submission, processing and publication
The Journal does not charge for submission and processing of the manuscript. However, if printed or color printing is demanded by the author(s) the cost will be incurred by them.

Preparation of manuscript
The text of observational and experimental articles should be divided into sections with the headings: Introduction, Methods, Results, Discussion, Conclusions and References, Tables, Figures, Figure legends, and Acknowledgment. Do not make subheadings in these sections.

TITLE PAGE
The title page should carry

  1. Type of manuscript (e.g. Original article, Case Report)
  2. Title concise but informative not more than 50 characters. Title case (upper case for all initial letters, mainly nouns, and pronouns) and in centre alignment (Ctrl+E in MS Word in Windows). E.g.,
             Body Mass Index and Dental Caries Experience among Children of Nepal
  1. The name by which each contributor is known (Last name, First name and initials of middle name), with his or her highest academic degree(s) and institutional affiliation. The name of the department(s) and institution(s) to which the work is attributed should be mentioned.

ABSTRACT PAGE
The second page should carry the full title of the manuscript and an abstract (of no more than 150 words for case report/brief reports and 250 words for original articles and case series). The abstract should be structured and state the Introduction, Objective, Methods (statistical analysis used), Results, and Conclusions.

Keywords: Three to six keywords (MeSH terms check at https://meshb.nlm.nih.gov/search) arranged alphabetically separated by semicolons and ending with a full stop. Only the first letter of the first keyword is upper case, rest lower case. No abbreviations.

INTRODUCTION
State the purpose of the article and summaries the rationale for the study or observation. 

METHODS
It includes a) study design, b) place and duration of the study, c) sample size and sampling technique, d) inclusion and exclusion criteria, e) ethical approval and informed consent, and f) data collection, statistical analysis and software used. Please do not use separate headings for study design (and other topics mentioned in the previous sentence) or other headings for inclusion criteria, exclusion criteria, data analysis, etc. Also, mention everything in paragraphs, not bullets or numbers. If questionnaire used include how they were developed, validated and tested for reliability. If the methods used are new or substantially modified, describe them and state their limitations. Reports of randomized clinical trials should based on the CONSORT Statement (http://www.consort-statement.org). When reporting experiments done on human subjects indicate whether the procedures followed were in accordance with the ethical standards of the responsible committee on human experimentation (institutional or regional) and with the Helsinki Declaration of 1975, as revised in 2000 (available at http://www.wma.net/e/policy/17-c_e.html).

RESULTS
Core findings of a study derived from the methods applied to gather and analyze information first then move towards the rest of the findings. All the findings should be in n (%) format. For decimal values in findings, please mention up to two decimal values except for the P values where up to three decimal values are allowed. Present results in logical sequence in the text, tables and illustrate giving the main or most important findings first. Presentation of results should not be duplicated in multiple formats. Extra or supplementary materials and technical detail can be placed in an appendix where it will be accessible but will not interrupt the flow of the text.

In the legends of tables and figures, write the complete words, preferably no abbreviations: "Table Table number separated from the title by a colon" and Figure, not Fig. The title should be in "Sentence Case" and the table or figure number separated by a colon. The first letter of title upper case, rest all lower case.

DISCUSSION
Emphasize key findings (primary outcome measures, secondary outcome measures, results as they relate to a prior hypothesis). It should indicate how the result relates to the expectations and literature previously cited with the limitation and their relation to other relevant studies. Include new and important aspects of the study and the conclusion that follows from them. Place strengths and limitations of the study (study question, study design, data collection, analysis and interpretation) and controversies raised by this study if any. It should not simply re-state results but should put them in the broader context and highlight the importance of the study. Provide and discuss with literature to support the study. It should explore the implications of the findings for future research and clinical practice. It should also outline next steps for future studies with insights about the limitation of the study. It should not repeat in detail data or other material given in the Introduction or Results section.

REFERENCES
Use Citing Medicine style, The US National Library of Medicine (NLM) style guide for Authors, Editors and Publishers for citation of references. It is similar to the Vancouver referencing style with a full stop after the journal name (Citing Medicine is the newer version of the Vancouver referencing style). Include the names of six authors followed by et al. if there are more than six authors. Do not give et al. after three authors. Rules of punctuation should be strictly followed: Index name of journals, the use of full stop, space, semicolons, and colon according to Citing Medicine referencing style (https://www.ncbi.nlm.nih.gov/books/NBK7256/).

References should be numbered consecutively in the order in which they are first mentioned in the text.

Identify references in text, tables, and legends by Arabic numerals in superscript above the line of text (e.g. 10).

The titles of journals should be abbreviated according to the style used in Index Medicus or if the journal is not indexed the title of the journal should be written in full. References should be cited according to requirement for manuscript submitted.

At the end of each reference do provide hyperlink of the PubMed, Full text (the link to pdf in the journal site or wherever available) and DOI as [PubMed | Full Text | DOI].

Include the last names and initials of the authors, title of article, name of publications/ journal abbreviation, year published, volume number, and inclusive pages.

Legends of Table and Figures
For all manuscripts except Case Report/Series, Tables and Figures should not be more than six in number. For Case Report, Up to 12 figures and Case Series up to 24 figures.

Tables

  • Tables should be self-explanatory and should not duplicate textual material. 
  • Tables with more than 10 columns and 25 rows are not acceptable. 
  • Number tables, in Arabic numerals, consecutively in the order of their first citation in the text and supply a brief title for each.
  • The main headings in Tables should be centrally aligned. For the contents of the table, all text should be left-aligned and numbers centrally aligned.
  • The legends of tables should be written ABOVE the tables
  • Explain in footnotes all non-standard abbreviations that are used in each table. 
  • For footnotes use the following symbols, in this sequence: *, †, ‡, §, ||, , **, ††, ‡‡

Illustrations (Figures)

  • Type or print out legends (maximum 40 words, excluding the credit line) and should be written BELOW the respective figures for illustrations using double spacing, with Arabic numerals corresponding to the illustrations. 
  • The. Graphs, charts, bar diagrams, photographs, etc., all fall under the FIGURE heading Send sharp, glossy, un-mounted, color photographic prints, with height of 4 inches and width of 6 inches. 
  • Figures should be numbered consecutively according to the order in which they have been first cited in the text. 
  • Print outs of digital photographs are not acceptable. For digital images send TIFF files of minimum 1200 x 1600 pixel size.

CONCLUSIONS
A conclusion should be concise, clear and briefly explaining the importance and usefulness of the study based on the study objectives and results. Give the key message and recommendation if applicable. Avoid unqualified statements not adequately supported by the data.

ETHICS (PROTECTION OF PATIENTS RIGHT TO PRIVACY)
Manuscripts submitted for publication should be attached with ethical clearance letter from the respective institutional ethical committee or review board A statement on ethics committee permission and ethical practices must be included in all research articles under the ‘Method’ section.

Informed consent of the patients must be taken prior considering them for participation in the study. Patient identifying information such as names, initials, hospital numbers or photographs should not be included in written descriptions. Patient consent should be obtained in written and archived with authors for scientific purposes and for publication. 

Protection of animal or human subject in research
While conducting experiments on human subjects, appropriate approval should be obtained from the Ethical Committee. When reporting studies done in human, indicate the procedures followed in accordance to the ethical standards of the responsible committee on human experimentation (institutional or regional) with Helsinki Declaration of 1975 as revised in 2000 (http://www.wma.net/e/policy/17-c_e.html). When reporting experiments on animals, indicate institution’s or national/research council’s guide for or any national law on the care and use of laboratory animals was followed.

When needed the authors must supply the evidence of approval by local ethics committee for any animal or human studies. Animal studies must be as humane as possible and anesthetics and analgesics used should be stated clearly. Guidelines provided by CPCSEA (animal) and ICMR (human) must be followed. The journal will not accept any paper which is ethically unacceptable.

The journal abides by ICMJE guidelines:

  1. Authors, not the journals nor the publisher, need to obtain the patient consent form before the publication and have the form properly archived. The consent forms are not to be uploaded with the cover letter or sent through email to editorial or publisher offices.
  2. If the manuscript contains patient images that preclude anonymity, or a description that has obvious indication to the identity of the patient, a statement about obtaining informed patient consent should be indicated in the manuscript.

They are written by invitation or produced in-house. It would state the opinions expressed in editorials and those of the author alone. They are in no way intended to express the official viewpoint of the journal, the board, or JNAPD.

ABSTRACT- Up to 250 words excluding keywords.

Instructions for Case Report/ Case Series (with Literature Review)

Total word limitation: 1500 (2500 for case report with literature review) words excluding abstract, references.
Title: 15 words not more than 50 characters.
Case Report should have a maximum of four authors but no limit on the number of authors for Case Series with Literature Review. Case Report should have no more than four patients while five to 10 patients can be reported in Case Series with Literature Review.

Case Report can have up to 12 figures and Case Series can have up to 24 figures. Do not merge/collage multiple "Figures/Pictures" to make one. They will be counted as individual figures/pictures.

ABSTRACT– Up to 150 words excluding keywords for case report and for case series 250 words allowed.
Keywords: 3-6 keywords.
INTRODUCTION: Up to 100 (200 for case series) words should include the background of the case being reported.
CASE REPORT: The case(s) being reported should be new/interesting/rare with clinical significance or implications.
DISCUSSION:
CONCLUSIONS: Summary with clinical significance.

INTRODUCTION: Up to 200 words, includes the main themes of the review, rationale for doing the review and an outline of important unresolved questions. It should be systemic critical assessments of literature and data sources.

These articles are based on issues related to health sciences to raise the voice, awareness, new ideas, thought to provoke concepts, and personal expert opinion of the author to express their own point of view on issues relevant to health related to pediatric dentistry.

Instructions for Medical / Dental Education

Total word limitation: up to 1500 words excluding abstract and references.
Title: 15 words not more than 50 characters.
Abstract: Up to 150 words.
Keywords: 3-6 keywords.
JNAPD will accept perspective on undergraduate, postgraduate and continuing medical education. All issues of current interest, including teaching methods, curriculum reform, the training of medical teachers, the selection of entrants and assessment techniques, curriculum development, evaluations of performance, assessment of training needs and evidence-based medicine/dentistry related to pediatric dentistry are accepted,. It undergoes the peer review process.

Total word limitation: From 500-1000 words.
Recently published books by our peers should be reviewed. 

Instructions for Letter to the Editor

Total word limitation: Up to 1000 words.
May concern any item felt to be of interest to the readership, or a question or critique concerning a recent paper, an important discovery or sometimes a thought provoking commentary related to child’s oral health.
References: Up to 10 in number.

Instructions for Miscellaneous/ Commentaries

Total word limitation: Up to 1000 words.
Title: 15 words not more than 50 characters
Submission based on some experience, education, or a variety of topic which has some clinical or scientific value that does not fall under any of the above categories.
References: Up to 10 in number.

Interview

This section will include a short introduction of the interviewee with structured interview of the interviewee and the interviewer. Involves asking open-ended questions to converse with respondents and collect elicit data about a subject or some standard set of questions in a standardized way.

NAPD News/Activities

This section includes information about various activities of NAPD. The submission to this section is open to Nepalese Association of Pediatric Dentistry only.

Editorial Process

The submitted manuscripts are duly acknowledged and preliminary technical reviews are done initially by the editors, reviewed for possible publication with understanding that it is being submitted only to JNAPD and have not been submitted, accepted or being published elsewhere. Manuscripts with insufficient originality serious scientific and technical flaws, or lacking significant message have less chances of acceptance. In cases of a good article that has been written poorly, the authors are asked to resubmit after being revised by the editors. Manuscripts are sent to two experts for peer reviewing where authors identity will not be revealed and vice versa The authors are informed about the modification/acceptance/rejection of the manuscript with the peer reviewer’s comments after peer reviewing. The accepted manuscript should be resubmitted by the authors after making the required changes or clarifying the points accordingly within 7 days. The editors will go through the manuscript and see if the suggestions by the reviewers have been executed or not by the authors before publishing it out in the journal. Articles accepted are copy edited for grammar, punctuation, print style, and format. Page proofs are sent to the corresponding author, which has to be returned within seven days. The final decision on whether to accept or reject the article is taken by Editor-in-Chief on editorial board based on the peer reviewer’s comments.

Checklist for authors before submitting the manuscript

Previously published material or borrowed manuscript by an Author must obtain written permission for it and must submit them with the manuscript. The borrowed material should be acknowledged.

Manuscript Submission
Manuscripts must be made and submitted in clear, concise English with electronic copy or supplementary files along with the manuscript to our online submission system. Supplementary files are: Forwarding, Authorship (signed by all authors) and Declaration letters (as available in JNAPD website). Check the checklist.

Privacy Statement

Nepal Journals Online (NepJOL) is a member of the Ubiquity Partner Network coordinated by Ubiquity Press. According to the EU definitions, NepJOL is the data controller, and Ubiquity Press are the service providers and data processors. Ubiquity Press provide the technical platform and some publishing services to NepJOL and operate under the principle of data minimisation where only the minimal amount of personal data that is required to carry out a task is obtained.

We take seriously our duty to process your personal data in a fair and transparent way. We collect and manage user data according to the following Privacy Policy. This document is part of our Terms of Service, and by using the press portal, affiliated journals, book, conference and repository websites (the “Websites”), you agree to the terms of this Privacy Policy and the Terms of Service. Please read the Terms of Service in their entirety, and refer to those for definitions and contacts.

What type of personal data do we handle?

There are four main categories of personal data stored by our journal platform, our press platform, and our book management system; Website User data, Author data, Reviewer data and Editor data.

The minimum personal data that are stored are:

  • full name
  • email address
  • affiliation (department, and institution)
  • country of residence

Optionally, the user can provide:

  • salutation
  • gender
  • associated URL
  • phone number
  • fax number
  • reviewing interests
  • mailing address
  • ORCiD
  • a short biography
  • interests

The data subjects have complete control of this data through their profile, and can request for it to be removed by contacting info@ubiquitypress.com

What do we do to keep that data secure?

We regularly backup our databases, and we use reliable cloud service providers (Amazon, Google Cloud, Linode) to ensure they are kept securely. Backups are regularly rotated and the old data is permanently deleted. We have a clear internal data handling policy, restricting access to the data and backups to key employees only. In case of a data breach, we will report the breach to the affected users, and to the press/journal contacts within 72 hours.

How do we use the data?

Personal information is only used to deliver the services provided by the publisher. Personal data is not shared externally except for author names, affiliations, emails, and links to ORCiD and social media accounts (if provided) in published articles and books which are displayed as part of the article/book and shared externally to indexes and databases. If a journal operates under open peer review then the reviewer details are published alongside the reviewer details.

How we collect and use your data:

1. When using the website

1.1 what data we collect

  • When you browse our website, we collect anonymised data about your use of the website; for example, we collect information about which pages you view, which files you download, what browser you are using, and when you were using the site.
  • When you comment on an article or book using Disqus, we are not collecting, controlling or processing the data. More details on the DISQUS privacy policy can be found on their website.
  • When you annotate an article or book, this is done via a 3rd party plugin to the website called Hypothes.is. In using this plugin we are not collecting, controlling or processing the data. More details on the Hypothes.is privacy policy can be found on their website.

1.2 why we collect the data

  • We use anonymised website usage data to monitor traffic, help fix bugs, and see overall patterns that inform future redesigns of the website, and provide reports on how frequently the publications on our site have been accessed from within their IP ranges.

1.3 what we do (and don’t do) with the data

  • We do not collect personal information that can be used to identify you when you browse the website.
  • We currently use Google Analytics for publication reports, and to improve the website and services through traffic analysis, but no personal identifying data is shared with Google (for example your computer’s IP is anonymised before transmission).

2. When registering as an author, and submitting an article or book

2.1 what data we collect

  • When registering an account we ask you to log in and provide certain personal information (such as your name and email address), and there is the option to register using an ORCiD which will pre-fill the registration form.
  • As part of submitting an article for publication, you will need to provide personally identifying information which will be used for the peer review process, and will be published. This can include ‘Affiliation’, ‘Competing interests’, ‘Acknowledgements’.

2.2 why we collect the data

  • Registering an account allows you to log in, manage your profile, and participate as an author/reviewer/editor. We use cookies and session information to streamline your use of the website (for example in order for you to remain logged-in when you return to a journal). You can block or delete cookies and still be able to use the websites, although if you do you will then need to enter your username and password to login. In order to take advantage of certain features of the websites, you may also choose to provide us with other personal information, such as your ORCiD, but your decision to utilize these features and provide such data will always be voluntary.
  • Personal data submitted with the article or book is collected to allow follow good publication ethics during the review process, and will form part of the official published record in order for the provenance of the work to be established, and for the work to be correctly attributed.

2.3 what we do (and don’t do) with the data

  • We do not share your personal information with third parties, other than as part of providing the publishing service.
  • As a registered author in the system you may be contacted by the journal editor to submit another article.
  • Any books published on the platform are freely available to download from the publisher website in PDF, EPUB and MOBI formats on the publisher’s site.
  • Any personal data accompanying an article or a book (that will have been added by the submitting author) is published alongside it. The published data includes the names, affiliations and email addresses of all authors.
  • Any articles published on the platform are freely available to download from the publisher website in various formats (e.g. PDF, XML).
  • Ubiquity Press books and articles are typeset by SiliconChips and Diacritech.This process involves them receiving the book and book associated metadata and contacting the authors to finalise the layout. Ubiquity Press work with these suppliers to ensure that personal data is only used for the purposes of typesetting and proofing.
  • For physical purchases of books on the platform Ubiquity Press use print on demand services via Lightning Source who are responsible for printing and distribution via retailers. (For example; Amazon, Book Repository, Waterstones). Lightning Source’s privacy policy and details on data handling can be found on their website.

2.4 why we store the data

  • We store the account data so that you may choose to become a reviewer and be able to perform those tasks, or to become an author and submit an article and then track progress of that article.
  • Published personal data that accompanies an article or a book forms part of the official published record in order for the provenance of the work to be established, and for the work to be correctly attributed.

2.5 what to do if you want to get a copy of your data, or want your data to be removed

  • You are able to view, change and remove your data associated with your profile. Should you choose to completely delete your account, please contact us at support@ubiquitypress.com and we will follow up with your request as soon as possible.
  • To conform to publication ethics and best practice any personal data that is published alongside an article or book cannot be removed. If you have a query about a publication to which you are attributed please contact info@ubiquitypress.com

3. When registering as a reviewer

3.1 what data we collect

  • To become a reviewer you must first register as a user on the website, and set your preference that you would like to be considered as a reviewer. No new personal data is collected when a registered user elects to become a reviewer.
  • When registering an account we ask you to log in and provide certain personal information (such as your name and email address), and there is the option to register using an ORCiD which will pre-fill the registration form.
  • Reviewers can also be registered by editors who invite them to review a specific article. This requires the editor to provide the reviewer’s First Name, Last Name, and Email address. Normally this will be done as part of the process of inviting you to review the article or book.
  • On submitting a review, the reviewer includes a competing interest statement, they may answer questions about the quality of the article, and they will submit their recommendation.

3.2 why we collect the data

  • The data entered is used to invite the reviewer to peer review the article or book, and to contact the reviewer during and the review process.
  • If you submit a review then the details of your review, including your recommendation, your responses to any review form, your free-form responses, your competing interests statement, and any cover letter are recorded.

3.3 what we do (and don’t do) with the data

  • This data is not shared publicly and is only accessible by the Editor and system administrators of that journal or press.
  • The data will only be used in connection with that journal or press.
  • Data that is retained post final decision is kept to conform to publication ethics and best practice, to provide evidence of peer review, and to resolve any disputes relating to the peer review of the article or book.
  • For journals or presses that publish the peer reviews, you will be asked to give consent to your review being published, and a subset of the data you have submitted will become part of the published record.

3.4 what to do if you want to get a copy of your data, or want your data to be removed

  • If you would no longer like to be registered as a reviewer you can edit your profile and tick the box ‘stop being a reviewer’. This will remove you from the reviewer database, however any existing reviews you may have carried out will remain.
  • If you have been contacted by an editor to peer review an article this means that you have been registered in the system. If you would not like to be contacted for peer review you can reply to the email requesting that your data be deleted.

4. When being registered as a co-author

4.1 what data we collect

  • Co-author data is entered by the submitting author. The submitting author will already have a user account. According to standard publishing practice, the submitting author is responsible for obtaining the consent of their co-authors to be included (including having their personal data included) in the article/book being submitted to the journal/press.
  • The requested personal data for co-authors are at the bare minimum; first name, last name, institution, country, email address. This can also include; ORCID ID, Title, Middle Name, Biographical Statement, Department, Twitter Handle, Linkedin Profile Name or ImpactStory ID.

4.2 why we collect the data

  • Assuming that it is accepted for publication, this data forms part of the official published record in order for the provenance of the work to be established, and for the work to be correctly attributed.
  • Author names, affiliations and emails are required for publication and will become part of the permanent cited record.

4.3 what we do (and don’t do) with the data

  • The co-author’s personal data is stored in the author database. This personal data is only used in relation to the publication of the associated article.
  • Any co-author data collected is added to the author database and is only used in association with the article the user is co-author on.

  • All emails sent via our newsletter client will include a link that will allow you to unsubscribe from the mailing list

Notification about change of ownership or of control of data

We may choose to buy or sell assets. In the case that control of data changes to or from Ubiquity Press and a third party, or in the case of change of ownership of Ubiquity Press or of part of the business where the control of personal data is transferred, we will do our best to inform all affected users and present the options.
