Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in Microsoft Word file format.
  • Where available, DOIs for the references have been provided.
  • The text is 1.5 line-spaced; uses Times New Roman 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines.

ISER Publishing Policy & Ethics:
All authors must adhere with below guidelines before submitting paper for review.

  1. Originality: ISER adhere Zero percent plagiarism policy. Submitted paper must be 100% original. If you are referring any other paper, you should have proper permission to use their research and proper reference/citation should be given in paper.
  2. Open Access: ISER is open access platform. All accepted work will publish bi-annually and freely available to all readers. Author should agree to provide their research work in open access after publication.
  3. General Guidelines & Formatting: If there is more than one author in paper, all the authors must be in mutual understanding before submitting paper to ISER. Your paper must be properly formatted and adhere ISER standard of paper formatting. Submitted paper should be in single or double column standard paper format.

ISER Publication Ethics & Publication Malpractice Statement
ISER is strongly committed to promote the highest ethical publication practices and expects all submitting authors/reviewers/board members to uphold the high standards of publication ethics as set out by the Commission on Publication Ethics (COPE). Any cases of ethical misconduct are treated very seriously and will be dealt with in accordance with the COPE guidelines.

These guidelines are fully consistent with the COPE Principles of Transparency and Best Practice Guidelines and the COPE Code of Conduct.

Duties and responsibilities of authors
Guidelines to Author

  1. Submission of a manuscript implies that the work described is not copyrighted, published or submitted elsewhere, except in abstract form. The corresponding author should ensure that all authors approve the manuscript before its submission.
  2. Manuscripts are accepted on condition of transfer of copyright. Once the manuscript is accepted, it may not be published elsewhere without the consent of the copyright holders.
  3. Papers should make a substantial contribution to the area of research, be technically well-crafted and be of interest to academia and professionals at large and most importantly, be empirical in nature. Empirical papers on risk management, insurance and social security relevant to developing nations, based upon original ideas are acceptable.
  4. Drawings and graphs should be original and should not be cropped or copied from others. Sufficient data should be attached with the graphs and figures. The photographs should be with high resolution and in electronic form.
  5. All submissions should be in English, typed in Times New Roman font, font size 12, with 1 inch margin on all four sides and with 1.5 line spacing. Authors must keep their manuscripts as concise as possible and finished papers should be between 4000 to 6000 words in length, including illustrations and tables. But, for deserving paper length is not constraints.
  6. The title of the paper should be as short as possible and should reflect the theme of the paper clearly.
  7. The language of the paper should be in English and that should be simple and easily understood.
  8. The paper should follow the structure of scientific writings as follows:
    • Title pages including title of the paper, sure name and first name of the author(s), prefix of author, affiliation of author(s), corresponding email address of first author, maximum latest five publications if
    • Abstract (250-300 words) followed by Key words (three to five terms), and JEL classification of the key words. Abstract should be concise. It starts with objectives, includes short methodology, major conclusions and suggestions (if required). The entire paper should be divided into five chapters as follows:
    • Introduction: This chapter focuses on overview of the subject of research, contemporary issue and mention objectives. Sub heading to be arrange like: 1.1, 1.2.1., 1.3 ……
    • Literature Review: This chapter discusses sufficient number of relevant literature. Sub heading to be arrange as: 2.1, 2.2 ……
    • Methodology: This chapter should be concise and more technical. It clearly specify about the research design, population, sample size, sampling techniques, types of data, duration of data, data collection instruments, data analysis tools that has been applied in study.
    • Result and Discussion: The section should present the data, discuss the data, explore the findings, derive on conclusions and offer the suggestions.
    • Conclusion: The chapter entirely concludes based on the findings
    • References: Should follow APA 7th edition format (Author- date format) on citation, tables, figure, referencing. (See: https://www.mendeley.com/guides/apa-citation-guide)
    • Annex: Supporting information which is not suitable to include in main text need to separately present in annex. If more than one annex is attached, need to write Annex-1, Annex-2, etc.
    • Consortia and group authorship – If a manuscript is submitted on behalf of a consortium or group, include the consortium or group name in the author list, and include the full list of members in the Acknowledgments or in a Supporting Information file.
    • The corresponding author is responsible for making sure all authors approve the final manuscript before submission. Open Science Journal will contact all authors by email at submission to ensure that they are aware of the submission
    • One corresponding author should be designated in the submission system as well as on the title page.
  9. The methodologies, results and findings should be highlighted to demonstrate inattentiveness.
  10. Short CV and passport size photographs of the first author are required after acceptance of the articles for publication. The CV and photographs of other authors is optional.

Formatting Guidelines

  1. Manuscript files can be in the following formats: DOC, DOCX or RTF. Microsoft Word documents should not be locked or protected.
  2. The headings of sections and sub-sections should be expanding up to three heading levels. Make sure heading levels are clearly indicated in the manuscript text.
  3. Do not format text in multiple columns.
  4. If your manuscript contains footnotes, move the information into the main text or the reference list, depending on the content.
  5. Define abbreviations upon first appearance in the text. Do not use non-standard abbreviations unless they appear at least three times in the text. Keep abbreviations to a minimum.
  6. Observance of fundamental rules of grammar and style will make the paper more comprehensive and interesting to read.
  7. All but very short mathematical expressions should be displayed on a separate line and make centre.
  8. Equations must be numbered consecutively on the right margin, using Arabic numerals in parentheses.
  9. Tables and figures should be numbered consecutively in the text in Arabic numerals (Table 1, 2 or Figure 1, 2).
  10. Each table or figure must have a title followed by a descriptive legend. Authors must check tables to be sure that the title, column headings, captions, etc. are clear to the point.
  11. The standard APA style of referencing (7th edition) should be followed which entails citations within the text in (name, date) format, and a full alphabetical references at the end of the text.
  12. Submissions can include a supplementary appendix which might include extra tables, extra figures, data description, etc.
  13. Papers that do not follow these guidelines will be returned to the authors by the Editorial Assistant.

Publication and Submission fee
No fees or charges are required from authors for manuscript processing/submission. Full information about fees must be clearly stated on the journal´s website before authors begin preparing then manuscript for submission.

Open Access Policy
The journal is freely available online. Authors are required to agree with this open access policy which enables unrestricted access and reuse of all published articles. Users are allowed to copy and redistribute the material in printed or electronic format and build upon the material, without further permission or fees being required, provided that appropriate credit is given.

Reporting standards
Authors of papers should present an accurate account of the work performed as well as an objective discussion of its significance. Underlying data should be represented accurately in the paper. A paper should contain sufficient detail and references to permit others to replicate the work. Fraudulent or knowingly inaccurate statements constitute unethical behavior and are unacceptable. Review and professional publication articles should also be accurate and objective, and editorial, opinion works should be clearly identified as such.

Data access and retention
Authors may be asked to provide the raw data in connection with a paper for editorial review, and should be prepared to provide public access to such data, if practicable, and should in any event be prepared to retain such data for a reasonable time after publication.

Originality and plagiarism
The authors should ensure that they have written entirely original works, and if the authors have used the work and/or words of others that this has been appropriately cited or quoted. Plagiarism takes many forms, from "passing off‟ another’s paper as the author’s own paper, to copying or paraphrasing substantial parts of another’s paper (without attribution), to claiming results from research conducted by others. Plagiarism in all its forms constitutes unethical publishing behavior and is unacceptable. Multiple, redundant or concurrent publication An author should not in general publish manuscripts describing essentially the same research in more than one journal or primary publication. Submitting the same manuscript to more than one journal concurrently constitutes unethical publishing behaviour. In general, an author should not submit for consideration in another journal a previously published paper. The copyright remains with the authors (CC-BY), thus they can decide about eventual republication of their text. The primary reference must be cited in the secondary publication.

Acknowledgement of sources
Proper acknowledgment of the work of others must always be given. Authors should cite publications that have been influential in determining the nature of the reported work. Information obtained privately, as in conversation, correspondence, or discussion with third parties, must not be used or reported without explicit, written permission from the source. Information obtained in the course of confidential services, such as refereeing manuscripts or grant applications, must not be used without the explicit written permission of the author of the work involved in these services.

Authorship of the paper
Authorship should be limited to those who have made a significant contribution to the conception, design, execution, or interpretation of the reported study. All those who have made significant contributions should be listed as co-authors. Where there are others who have participated in certain substantive aspects of the research project, they should be acknowledged or listed as contributors. The corresponding author should ensure that all appropriate co-authors and no inappropriate co-authors are included on the paper, and that all co-authors have seen and approved the final version of the paper and have agreed to its submission for publication.

Disclosure and conflicts of interest
All authors should disclose in their manuscript any financial or other substantive conflict of interest that might be construed to influence the results or interpretation of their manuscript. All sources of financial support for the project should be disclosed. Examples of potential conflicts of interest which should be disclosed include employment, consultancies, stock ownership, honorarium, paid expert testimony, patent applications/registrations, and grants or other funding. Potential conflicts of interest should be disclosed at the earliest stage possible. Readers should be informed about who has funded research and on the role of the funder in the research.

Fundamental errors in published works
When an author discovers a significant error or inaccuracy in his/her own published work, it is the Author’s obligation to promptly notify the journal editor or publisher and cooperate with the editor to retract or correct the paper. If the editor or the publisher learns from a third party that a published work contains a significant error, it is the obligation of the author to promptly retract or correct the paper or provide evidence to the editor of the correctness of the original paper.

Duties and responsibilities of editors
In addition to many general duties, such as constantly improving the quality and integrity of the journal, striving to needs of authors and readers, encouraging academic debate, and others, the editors accept obligation to apply best will and practice to cope with the following responsibilities:

Editorial Board
Editorial board will be generated from recognized experts in the field. The editor will provide full names and affiliations of the members as well as updated contact information for the editorial office on the journal web page.

Publication decisions
The editor should be responsible for deciding which of the articles submitted to the journal should be published. The validation of the work in question and its importance to researchers and readers must always drive such decisions. The editor may be guided by the policies of the journal's editorial board and constrained by such legal requirements, copyright infringement and plagiarism. The editor may confer with other editors or reviewers in making this decision.

Peer review process
All of a journal’s content should be subjected to peer-review. Articles submitted for possible publication are subjected to a double-blind, peer review process. Articles are first reviewed by editors. The editor may reject it out of hand either because it is not dealing with the subject matter for that journal or because it is manifestly of a low quality so that it cannot be considered at all. Articles that are found suitable for review are then sent to two experts in the field of the paper. Referees of a paper are unknown to each other. Referees are asked to classify the paper as publishable immediately, publishable with amendments and improvements, or not publishable. Referees’ evaluations usually include an explicit recommendation of what to do with the manuscript. Referees’ comments are then seen by the author.

Editors should be ready to justify any important deviation from the described process. Editors should not reverse decisions on publication unless serious problems are identified.

Editors should publish guidance to either authors or reviewers on everything that is expected of them. This guidance should be regularly updated and will refer or link this code.

Fair play
Editors should evaluate manuscripts for their intellectual content without regard to race, gender, sexual orientation, religious belief, ethnic origin, citizenship, or political philosophy of the authors. Editors’ decision to accept or reject a paper for publication should be based only on the paper’s importance, originality and clarity, and the study’s relevance to the aim of journal.

Digital Archiving
The editor will ensure digital preservation of access to the journal.

Confidentiality
Editor and any editorial staff must not disclose any information about a submitted manuscript to anyone other than the corresponding author, reviewers, potential reviewers, other editorial advisers, and the publisher. Editors will ensure that material submitted remains confidential while under review.

Privacy Statement

Nepal Journals Online (NepJOL) is a member of the Ubiquity Partner Network coordinated by Ubiquity Press. According to the EU definitions, NepJOL is the data controller, and Ubiquity Press are the service providers and data processors. Ubiquity Press provides the technical platform and some publishing services to NepJOL and operate under the principle of data minimisation where only the minimal amount of personal data that is required to carry out a task is obtained.

Ubiquity Press Privacy Policy

We take seriously our duty to process your personal data in a fair and transparent way. We collect and manage user data according to the following Privacy Policy. This document is part of our Terms of Service, and by using the press portal, affiliated journals, book, conference and repository websites (the “Websites”), you agree to the terms of this Privacy Policy and the Terms of Service. Please read the Terms of Service in their entirety, and refer to those for definitions and contacts.

What type of personal data do we handle?

There are four main categories of personal data stored by our journal platform, our press platform, and our book management system; Website User data, Author data, Reviewer data and Editor data.

The minimum personal data that are stored are:

  • full name
  • email address
  • affiliation (department, and institution)
  • country of residence

Optionally, the user can provide:

  • salutation
  • gender
  • associated URL
  • phone number
  • fax number
  • reviewing interests
  • mailing address
  • ORCiD
  • a short biography
  • interests
  • Twitter profile
  • LinkedIn profile
  • ImpactStory profile
  • profile picture

The data subjects have complete control of this data through their profile, and can request for it to be removed by contacting info@ubiquitypress.com

What do we do to keep that data secure?

We regularly backup our databases, and we use reliable cloud service providers (Amazon, Google Cloud, Linode) to ensure they are kept securely. Backups are regularly rotated and the old data is permanently deleted. We have a clear internal data handling policy, restricting access to the data and backups to key employees only. In case of a data breach, we will report the breach to the affected users, and to the press/journal contacts within 72 hours.

How do we use the data?

Personal information is only used to deliver the services provided by the publisher. Personal data is not shared externally except for author names, affiliations, emails, and links to ORCiD and social media accounts (if provided) in published articles and books which are displayed as part of the article/book and shared externally to indexes and databases. If a journal operates under open peer review then the reviewer details are published alongside the reviewer details.

How we collect and use your data:

1. When using the website

1.1 what data we collect

  • When you browse our website, we collect anonymised data about your use of the website; for example, we collect information about which pages you view, which files you download, what browser you are using, and when you were using the site.
  • When you comment on an article or book using Disqus, we are not collecting, controlling or processing the data. More details on the DISQUS privacy policy can be found on their website.
  • When you annotate an article or book, this is done via a 3rd party plugin to the website called Hypothes.is. In using this plugin we are not collecting, controlling or processing the data. More details on the Hypothes.is privacy policy can be found on their website.

1.2 why we collect the data

  • We use anonymised website usage data to monitor traffic, help fix bugs, and see overall patterns that inform future redesigns of the website, and provide reports on how frequently the publications on our site have been accessed from within their IP ranges.

1.3 what we do (and don’t do) with the data

  • We do not collect personal information that can be used to identify you when you browse the website.
  • We currently use Google Analytics for publication reports, and to improve the website and services through traffic analysis, but no personal identifying data is shared with Google (for example your computer’s IP is anonymised before transmission).

1.4 what to do if you want to get a copy of your data, or want your data to be removed

2. When registering as an author, and submitting an article or book

2.1 what data we collect

  • When registering an account we ask you to log in and provide certain personal information (such as your name and email address), and there is the option to register using an ORCiD which will pre-fill the registration form.
  • As part of submitting an article for publication, you will need to provide personally identifying information which will be used for the peer review process, and will be published. This can include ‘Affiliation’, ‘Competing interests’, ‘Acknowledgements’.

2.2 why we collect the data

  • Registering an account allows you to log in, manage your profile, and participate as an author/reviewer/editor. We use cookies and session information to streamline your use of the website (for example in order for you to remain logged-in when you return to a journal). You can block or delete cookies and still be able to use the websites, although if you do you will then need to enter your username and password to login. In order to take advantage of certain features of the websites, you may also choose to provide us with other personal information, such as your ORCiD, but your decision to utilize these features and provide such data will always be voluntary.
  • Personal data submitted with the article or book is collected to allow follow good publication ethics during the review process, and will form part of the official published record in order for the provenance of the work to be established, and for the work to be correctly attributed.

2.3 what we do (and don’t do) with the data

  • We do not share your personal information with third parties, other than as part of providing the publishing service.
  • As a registered author in the system you may be contacted by the journal editor to submit another article.
  • Any books published on the platform are freely available to download from the publisher website in PDF, EPUB and MOBI formats on the publisher’s site.
  • Any personal data accompanying an article or a book (that will have been added by the submitting author) is published alongside it. The published data includes the names, affiliations and email addresses of all authors.
  • Any articles published on the platform are freely available to download from the publisher website in various formats (e.g. PDF, XML).
  • Ubiquity Press books and articles are typeset by SiliconChips and Diacritech.This process involves them receiving the book and book associated metadata and contacting the authors to finalise the layout. Ubiquity Press work with these suppliers to ensure that personal data is only used for the purposes of typesetting and proofing.
  • For physical purchases of books on the platform Ubiquity Press use print on demand services via Lightning Source who are responsible for printing and distribution via retailers. (For example; Amazon, Book Repository, Waterstones). Lightning Source’s privacy policy and details on data handling can be found on their website.

2.4 why we store the data

  • We store the account data so that you may choose to become a reviewer and be able to perform those tasks, or to become an author and submit an article and then track progress of that article.
  • Published personal data that accompanies an article or a book forms part of the official published record in order for the provenance of the work to be established, and for the work to be correctly attributed.

2.5 what to do if you want to get a copy of your data, or want your data to be removed

  • You are able to view, change and remove your data associated with your profile. Should you choose to completely delete your account, please contact us at support@ubiquitypress.com and we will follow up with your request as soon as possible.
  • To conform to publication ethics and best practice any personal data that is published alongside an article or book cannot be removed. If you have a query about a publication to which you are attributed please contact info@ubiquitypress.com

3. When registering as a reviewer

3.1 what data we collect

  • To become a reviewer you must first register as a user on the website, and set your preference that you would like to be considered as a reviewer. No new personal data is collected when a registered user elects to become a reviewer.
  • When registering an account we ask you to log in and provide certain personal information (such as your name and email address), and there is the option to register using an ORCiD which will pre-fill the registration form.
  • Reviewers can also be registered by editors who invite them to review a specific article. This requires the editor to provide the reviewer’s First Name, Last Name, and Email address. Normally this will be done as part of the process of inviting you to review the article or book.
  • On submitting a review, the reviewer includes a competing interest statement, they may answer questions about the quality of the article, and they will submit their recommendation.

3.2 why we collect the data

  • The data entered is used to invite the reviewer to peer review the article or book, and to contact the reviewer during and the review process.
  • If you submit a review then the details of your review, including your recommendation, your responses to any review form, your free-form responses, your competing interests statement, and any cover letter are recorded.

3.3 what we do (and don’t do) with the data

  • This data is not shared publicly and is only accessible by the Editor and system administrators of that journal or press.
  • The data will only be used in connection with that journal or press.
  • Data that is retained post final decision is kept to conform to publication ethics and best practice, to provide evidence of peer review, and to resolve any disputes relating to the peer review of the article or book.
  • For journals or presses that publish the peer reviews, you will be asked to give consent to your review being published, and a subset of the data you have submitted will become part of the published record.

3.4 what to do if you want to get a copy of your data, or want your data to be removed

  • If you would no longer like to be registered as a reviewer you can edit your profile and tick the box ‘stop being a reviewer’. This will remove you from the reviewer database, however any existing reviews you may have carried out will remain.
  • If you have been contacted by an editor to peer review an article this means that you have been registered in the system. If you would not like to be contacted for peer review you can reply to the email requesting that your data be deleted.

4. When being registered as a co-author

4.1 what data we collect

  • Co-author data is entered by the submitting author. The submitting author will already have a user account. According to standard publishing practice, the submitting author is responsible for obtaining the consent of their co-authors to be included (including having their personal data included) in the article/book being submitted to the journal/press.
  • The requested personal data for co-authors are at the bare minimum; first name, last name, institution, country, email address. This can also include; ORCID ID, Title, Middle Name, Biographical Statement, Department, Twitter Handle, Linkedin Profile Name or ImpactStory ID.

4.2 why we collect the data

  • Assuming that it is accepted for publication, this data forms part of the official published record in order for the provenance of the work to be established, and for the work to be correctly attributed.
  • Author names, affiliations and emails are required for publication and will become part of the permanent cited record.

4.3 what we do (and don’t do) with the data

  • The co-author’s personal data is stored in the author database. This personal data is only used in relation to the publication of the associated article.
  • Any co-author data collected is added to the author database and is only used in association with the article the user is co-author on.

4.5 what to do if you want to get a copy of your data, or want your data to be removed

5. When signing-up to receive newsletters

5.1 what data we collect

  • We require you to include your name and email address

  • We use mailchimp to provide our mailing list services. Their privacy policy can be found here

5.4 what to do if you want to get a copy of your data or want your data to be removed

  • All emails sent via our newsletter client will include a link that will allow you to unsubscribe from the mailing list

Notification about change of ownership or of control of data

We may choose to buy or sell assets. In the case that control of data changes to or from Ubiquity Press and a third party, or in the case of change of ownership of Ubiquity Press or of part of the business where the control of personal data is transferred, we will do our best to inform all affected users and present the options.
